Saving Yearly Emails.

Post by drapadew » Thu Dec 21, 2006 11:12 pm

I would like to save all of my 2006 Emails on a DVD.
I know that Windows Xp allowes you to safe all your Emails and export them from your old computer to your new one.
But is it possible to burn the same file on to a DVD so one can look back at them in the future.
Thanks
TDH

The easiest way is to find the .pst file, copy it to a new file renaming it with the date (i.e. 211206.pst) and burn that onto CD or DVD.

Click on Start, then Search and enter outlook.pst. Don't forget to select Advanced and check the box for Search within hidden and system files and it should find it for you OK.

Copy the file and paste it onto your desktop (Do NOT paste it as a shortcut!). Rename it to the current date and burn to disc.

Never used AOL, but I'd imagine they have a facility to backup or export emails.

Als0, they must be held in a file somewhere on your PC. Try Help and see if it tells you where.

Saving Emails.

Post by drapadew » Fri Dec 22, 2006 7:18 pm

Mary!
Thank you,I did as you suggested, worked out OK,But! But! it just did not do what I was really looking for.
When I opened up the file with the WORD program. This after I had transfered it to the DVD,all it showed me was a list of all of the files that I had saved and sent by subject heading.
Maybe what I am looking for is unobtainable?.
I would like to be able to open up my saved Email files which I have transferred previously on to a DVD or CD and have the capabillity of being able to open the DVD or CD with my a program and read the full text of the Email.
IDEA! IDEA! Just came to me.What do you think of using a USB FLASH DRIVE strickly as an archive for your yearly Email deposit.Would this work?.
There is just too much family history imbedded in some of these Emails just to delete them.So often they tell a history story themselves of how two or more people, our cousins, finally arrive through their individual research at that point when they realize that they are from the same Grandparents or related in some way.I know you know that feeling.
I feel that it would be sad that my future generations would not have the chance to see the work involved at getting to where our family tree stands today, just because I pressed a delete button.
Excuse the ramblings.
Regards
TDH

The two types of email....
Web based email, such as hotmail, and AOL etc. Your email is accessed through a web page and stored on the provider's server.... these emails are not stored on your computer and you do not need any special programs to access your email (only a browser such as Internet Explorer).

Then there is the "client-based email".... you have to use a program such as "Outlook" or "Outlook Express" to download your email from your providers server. The emails are then stored on your computer hard drive. This type of email allows you to organise your messages better and you can also read them offline.

Using Web-mail or Client-mail you can save individual emails as text documents into any folder on your computer.. by "File"... "Save as".... and as a "Text file" (time consuming if you have a lot of emails).

Using "Outlook" you can quickly export hundreds of emails to a "PST file" (personal folder file).... useful if want to keep old emails for future reference.
You can not open a PST file to read individual emails.... you have to import the file back into Outlook and open them from there.

I've probably made this sound a lot more complicated than it should have been. :?

Sorry, TDH, I didn't realise you wanted to be able to open them in another programme to read. As Jim says, you can only really do that by saving each email as a text file individually.

I'm almost sure there is a way of importing a saved .pst file back into Outlook without it interfering with your current stuff and then removing it without doing an damage, but it escapes me at the moment.

If my "little grey cells" come out of hibernation I will let you know

Hi Mary
One way is to make a copy of the pst file and create a new folder in Outlook called "Temp".
Then import the copy pst file into the Temp folder.
After reading them, you can either keep them .... or else delete the Temp folder.
