sendingjpeg attachments by email

Post by annpa » Sun Mar 11, 2007 4:39 am

I hope this gets through. I'm having a lot of difficulty posting to the list tonight.

Anyway - Can anyone help, please?

I have two pages in .jpg format which I need to send as attachments to an email. The problem is that when they arrive at the other end they are HUGE!! (to view, not in kb). [computer]

One is a page of text containing a table, and the second is a page of text containing a hand-drawn diagram.
They were both done in Lotus Ami Pro (my husband is older and more stubborn than the dinosaurs when it comes to more modern software. What was good enough for him 15 years ago is good enough now!!) #-o

I was unable to convert them to Word, hence I scanned them as .jpg

I need to send these to a large number of people, hence the need to send them by email, rather than expensive Royal Mail.

I am using Outlook Express as my email client, but have also used Firefox on another computer. Each attempt has had the same result. a huge page which when printed would take about 6 A4 sheets. The originals are only one A4 sheet each.
when I first sanned them, their KB size was quite huge. 1.4 MB for the page with the table and 1.7MB for the page with the hand-drawn diagram.
I rescanned them until they were about 400kb and 600 kb.
Tell me, does the size in kb affect the size on the screen (printout)? If so what number of kb should I reduce them to so that they are A4 and the type is able to be read.?

Or any other suggestions? all are welcome!! [-o< 8-[

After the last couple of days effort I think it's going to be [kettle] [pour-drink] and [5 cups] in that order. Just hope I don't resort to [comp-hammer] !!

Cheers all

Hi Annpa,

There are two ways of looking at this problem.

(1) The image size is huge and your Amipro is set to show it at a smaller size on screen. This huge image size (reduced to view) is good, as it keeps a high resolution.

(2) The image size is not huge, but the recipient you are sending to has the view set to a higher viewing percentage, thus magnifying the image and it appears as huge.

My suspicion is that the image size is huge and Amipro is shrinking your view of it so all looks fine for you. The recipient may be viewing it in their internet browser program, such as Internet Explorer, which is not clever at resizing the image. If that is the case, the newest version of Internet Explorer (version 7) has a magnifying tool, which can be used to reduce the viewing percentage. Normal = 100%, but there are preset reductions at 75% and 50%, and "zoom out" (which will go as far as 10%). Upon finishing viewing these images, they would beed to go back to 100%, or all web pages will be at 10% (far too small for reading text).

If the recipient is viewing the image in an earlier version Internet Explorer, then this magnification tool is not there. They need to either update Internet Explorer (should be able to download from Microsoft website) or use another viewer program, which will allow them to view the image on a more suitable scale.

Another solution would be for you to reduce the image size before sending it. On Amipro there should be an option to do this. Make sure you do so by shrinking the image, not cropping it (which would cut sections off the image to reduce its size). Also, make sure that when reducing the image size to save it under a different name, so as not to overwrite your original image (the one which will have the greater resolution).

All the best,

AndrewP

Thanks for your prompt reply, Andrew. I will away and see what I can come up with. One thing I thought of is trying to create the handdrawn image in a text file(???).
Cheers

Hi Annpa,

Hopefully you have had success with Andrew’s instructions. I’m afraid I’m somewhat “technically challenged” when it comes to computers and file sizes and the likes, but did you try just copying and pasting your scanned images into a Word document and sending that as an attachment…I do it all the time?

I work with contracts that contain several architectural drawings, aerial views, and so forth, combined with several pages of text…makes for very large files. Once I’ve scanned the architect’s drawings, etc., I clip any wasted blank space then just copy and paste it into a blank page in Word and email the attachment as a Word document…very professional looking. Of course, my files are really big and sometimes the recipient’s email isn’t large enough to handle, but in that case, I just convert it to a PDF document for them… your files, although large, don’t seem quite as large as mine…so if all else fails, give it a try. Here’s hoping you succeed!

Anne H

Anne,

thankyou so much for your tip about cut and paste.
I did that, played about with it until it fitted an A4 page, then took the plunge and sent it off to my 60+ recipients.

have been contacted by them to say that the second emailing was received successfully!!

So thank you again. Will remember this technique!!
